Privacy Policy
Effective date: 2026-10-17
Gramic is a language-learning app made by Monicly Inc, Tokyo, Japan ("we", "us"). You talk with an AI tutor, and Gramic turns those conversations, and material you add, into short speaking lessons.
This policy explains what information Gramic collects, why, who processes it for us, how long we keep it, and the choices you have. It covers the Gramic apps for iOS and Android and the Gramic web app.
Information we collect
Account information. You sign in through our sign-in provider, Auth0. We receive and keep your account identifier, email address, name and profile picture link, and we check that your email address is verified.
Learning profile. Your native language, the language you are learning, your level and goals, and the tutor voice you choose (we also use this choice to address you with the right grammatical gender).
Conversations with the tutor. During a call, your microphone audio is streamed to our AI provider so the tutor can hear and answer you. We do not record or store the call audio. We do store a written transcript of each call and of any messages you type, and an AI-written summary of your past conversations.
Things you tell the tutor about yourself. To make lessons relevant, the tutor can save short notes from your conversations, such as the name you want to be called, your work, hobbies, language goals, relationship status, recent experiences and long-term ambitions.
Camera and screen sharing. If you choose to share your camera or screen during a call, still frames are sent to our AI provider so the tutor can see them. We do not store these frames.
Material you add. Documents (such as PDF, text and Word files), photos from your camera or photo library, and audio you record or upload as learning material. We store these files, along with text we extract from them: transcripts of recordings, descriptions of photos and the text of documents.
Lessons and practice. The lessons generated for you (phrases, example sentences, images and speech audio) and your results. When you practice saying a phrase, your recording is sent to an AI provider to transcribe and score it; we keep the score, not the recording.
Usage information. How long your calls and practice sessions last, which screens you are on during a call, and how much AI processing your account uses, so we can run the service, apply usage limits and understand costs.
App updates. When the app checks for updates, it sends our update service (Expo) a random installation identifier, your platform and the app version. This identifier is not linked to your account.
Settings such as the colour theme and interface language are stored only on your device.
- We do not collect your precise or approximate location, contacts, health, financial or payment information.
- Gramic contains no advertising and no third-party analytics or crash-reporting tools.
How we use your information
- To run your tutor conversations and build lessons from them.
- To store, transcribe and search the material you add so the tutor and your lessons can use it.
- To score your pronunciation and track your progress.
- To sign you in, control access to the service and apply usage limits.
- To understand and manage the cost and reliability of the service.
- To answer you when you contact us.
We do not sell your personal information, we do not use it for advertising, and we do not track you across other companies’ apps or websites.
Service providers who process your information
We use the following providers to run Gramic. They receive only what they need to perform their task for us.
- Auth0 (Okta): sign-in.
- Convex: our database, file storage and server functions, where your account, transcripts, lessons and added material are kept.
- Cloudflare: the connection that relays your calls, lesson generation, storage and delivery of lesson audio and images, image resizing, hosting of the web app, and service logs.
- Google (Gemini API): the live tutor conversation (audio, typed messages, shared camera or screen frames and photos), transcripts and summaries, lesson planning, transcription and description of the material you add, and backup pronunciation scoring.
- OpenAI: transcription of your practice recordings for scoring, and checking readings of Japanese lesson text.
- Microsoft Azure Speech and Google Cloud Text-to-Speech: turning lesson text into speech.
- TypeSafe: analysis of Japanese lesson text.
- fal.ai and Replicate: generating lesson images from short descriptions written from your lessons.
- Expo: delivering app updates.
Lesson text, image descriptions and summaries are written from your conversations, so they can contain things you said. These providers may process information in countries other than your own, including the United States.
Website waiting list
If you join the Gramic waiting list on our website, we keep the email address, name, referral code and survey answers you give us, in our database and in a Google Sheets spreadsheet, so we can invite you and plan the service.
How long we keep information
We keep your account information, transcripts, summaries, lessons, added material and usage records for as long as your account exists. You can delete individual lessons and added material in the app at any time.
Call audio, shared camera or screen frames and practice recordings are processed as they happen and are not stored by us.
When you ask us to delete your account, we delete your account and the information associated with it. Copies held in service providers’ logs and backups are removed on their own schedules. We may keep information where the law requires us to.
Your choices and rights
You can choose not to share your camera or screen, and you can remove lessons and added material in the app.
You can ask us for a copy of your information, ask us to correct it, or ask us to delete your account and its data by writing to [email protected] from the email address you use to sign in. Depending on where you live, you may have further rights under laws such as Japan’s Act on the Protection of Personal Information or the EU and UK GDPR. We will respond within 30 days.
Security
Information travels between the app and our services over encrypted connections, and access to your data requires your signed-in account. No system is perfectly secure, but we work to protect your information.
Children
Gramic is not directed at children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has given us personal information, contact us at [email protected] and we will delete it.
Changes to this policy
If we change this policy, we will update the effective date at the top of this page, and for significant changes we will let you know in the app or by email.
